A documented process eliminates the guesswork and allows for smoother and more efficient ministry team function. Newcomer/Visitor Followup

Without people there is no church! It takes a lot of emotional energy for people to visit a church and we want to make sure that we provide as many “touch points” (cards, telephone calls, emails)  as possible to make them feel welcome and at home at the church. Creating a visitor process ensures that visitors don’t “fall through the cracks” and that each applicable ministry (example, Children’s or Women’s) gets the information they need in a timely fashion to connect with a new family.

We will work with you to create a process where staff can easily track and care for
visitors from the time they fill in the visitor card through to the time they become
regular attenders or members.

Database

The information you get out of a database is only as good as the information
you put in. In order to ensure accurate information and informative reporting,
a process needs to be created for maintaining the data on the database.
This includes what information is needed from the database, who inputs the information and how often.

We will help you set up a database process that ensures information is added, deleted and updated in a timely fashion. This saves time and money (example, reduces incorrect mailing address information). It minimizes missing information and ensures accurate reporting as the information is accurate and up-to-date.

Facility

A facility process minimizes duplicate room bookings and allows the security team to be more aware of the people scheduled to be on the property at any given time. It lays out expectations so that each party is aware of their responsibilities. It allows the Administration staff time to plan ahead for any out-of-the-ordinary events.

Web Site

There are often several people involved in the upkeep of an organizations web site. A process eliminates confusion by detailing the tasks and timelines as well as which party is responsible for each area. A process needs to be created that stipulates who determines and approves content, who is responsible for information (from creation through to uploading) as well as a timeline for new additions or changes.

Special Events and Holidays

Special events and holidays require additional effort and hours. When postcards and letters need to be produced/printed/designed/mailed at the last minute, it creates stress, confusion and often unnecessary expense. Creating a process and timeline for events minimizes last-minute crunch-times since each staff member and volunteer is able to plan ahead and knows who to ask and how much time to give them.
